Training provider software you own.
Enquiries, quotes, courses, bookings, certificates, renewals, invoices and CITB funding in one system that knows the scheme rules. You own it, so there is no fee per admin user and none per booking.

01 / What it costs
What does your current system cost?
Most training software is rented. You pay each month for every admin user and again for every booking, so the bill rises with every delegate you train. A system you own is built once, then costs a fixed monthly fee for hosting and support.
Over five years, ex VAT
- Renting
- £100,800
- £20,160 a year, more with every extra booking
- Owning
- £30,000
- The build, then the same monthly fee however busy you get
Owning costs £70,800 less over five years.
Figures are illustrative and exclude VAT. The defaults are typical published prices for a provider with three admin users and about 9,000 bookings a year. A build is quoted per project, once we have seen how you work.
Open the demo02 / The scheme rules
It knows the rules that make the admin.
The sample provider runs first aid, CITB site safety and plant courses. The system checks, counts down and tracks the rules each scheme sets, so your team does not have to remember them.
Eligibility on every booking
Each booking is checked against the course rules and the delegate's record. An SMSTS refresher is refused once the SMSTS has expired, and the full course is offered instead. Minimum age, logbook entries and grace periods are set per course, and an override needs a reason that goes in the audit trail.
Upload deadlines with a countdown
Every upload you owe in one queue: CITB achievements within 10 working days, awarding body results and card applications. The CITB file follows CITB's own published column layout. The others are labelled as illustrative until matched to your portal's template.
Certificates anyone can check
Your own certificates as PDFs and awarding body certificates on the delegate's record, each with a number nobody can guess and a QR code. Scanning it opens a public page that says valid, expired or revoked, showing only the name, course, dates, provider and awarding body.
Renewals as revenue
Expiry dates worked out per scheme, reminders to the delegate and the employer at 90, 60 and 30 days, rebooking in one click, and a forecast of renewal income month by month.
CITB funding tracked
Each employer's Employer Network cap for the funding year, used and left, the contribution per course and the plant grant tiers. A grant shows as pending until the achievement is uploaded, and a funded place that would go over the cap is refused.
Trainer competence and LOLER
A trainer goes on a course only with the right category and an instructor registration in date, and nobody can quality assure a course they are teaching. A training machine without an in date LOLER thorough examination cannot be allocated.
03 / The whole business
Everything from enquiry to invoice.
Accept a quote as the employer in their portal, then find the course on the planning board and its invoices in accounts. It all joins up.
Enquiries, quotes and employer accounts
Enquiries on a board from new to won, quotes for in company courses with the margin worked out, and an account per employer with its staff, bookings, certificates and invoices.
A planning board
Courses by trainer, venue and machine across the week or month, with clashes flagged as you plan and under filled courses to confirm or cancel.
Invoices, credit control and profit
Invoices with VAT and purchase orders, aged debt, and profit per course after trainer, venue and awarding body fees. The accounts sync is simulated and says so.
A learning library
Pre-course videos, handouts and short quizzes for delegates, with completion tracked per booking, and trainer packs that only trainers qualified for the course can open.
Employer portal
Each employer sees its staff across every discipline on an expiry heatmap, downloads certificates, accepts quotes, views invoices and rebooks everyone due in the next 90 days at once.
Delegate portal
Delegates fill in the pre-course form, upload a certificate they already hold for your team to check, work through their pre-course learning and share their certificates.
Trainer portal
Today's register on a tablet with ID checks and results, kit lists, the trainer's own registrations and expiry dates, availability and CPD.
AI, simulated and labelled
Draft a quote from an enquiry email, read an uploaded certificate for your team to confirm, and ask questions of the live data within your permissions. In the demo these are simulated and say so. A real build uses a real model on your own data.
